NBT Seeks Manager of Grants Billing and Reporting
New Brunswick Tomorrow (NBT) is seeking a team member responsible for the oversight of the organization’s grant and contracts. NBT is seeking a full-time staff member to join our team who is an independent thinking, take-charge individual, who can hit the ground running to help us meet our mission and improve the quality of life for all New Brunswick residents. Working as part of the Management team, this role is responsible for the financial transactions for grants and contracts billing, receivables collections, grant budget tracking and reporting, grant fiscal compliance and close-out reporting.
Job Title: Manager of Grants Billing and Reporting
Job Description
The grants billing and reporting manger processes and records all accounts payable transactions, cash disbursements, and credit card transactions for the organization, as well as all accounts receivable transactions, cash and credit card receipts, donations and grant activity. The grants billing and reporting manger is also responsible for general administrative office tasks such as filing and office supplies maintenance. The position interfaces with program personnel to ensure optimal grant financial performance, and engages with the accounting and payroll team to ensure that financial objectives are met.
Responsibilities
- Track expenditures on all grants by utilizing reports and data extracts from accounting systems.
- Assists program directors in the preparation of grant reports or reimbursement requests for grant awards
- Prepare all assigned required program grant billings and financial reporting within established time frames.
- Accurately allocate expenses to programs in accordance with funding source regulations and approved rates.
- Reviews all vendor and independent contractor invoices for proper documentation, coding, and approvals. Timely records all vendor invoices into the accounting system.
- Maintains W-9 documentation for independent contractors
- Reviews employee credit card activity, reconciles to monthly statements, and records activity into accounting system
- Prepares accounts payable files for storage, as required
- Assist, as needed, with month-end close by preparing schedules or other analysis of general ledger accounts or allocations, including research of uncashed vendor checks and the annual audit
- Assists with vendor and cash receipts files and supporting documentation during annual financial statement audits
- Assists with maintaining and compiling relevant documents for grant applications
- Other projects as assigned.
Qualifications
- An Associate degree (or greater) in finance, accounting, nonprofit management, or business administration
- Minimum of two years bookkeeping experience including accounts payable, accounts receivable, and maintenance of various supporting schedules
- At least 3-5 years of relevant nonprofit work experience
- Strong experience in nonprofit fiscal management, with knowledge of QuickBooks accounting software
- Demonstrated proficiency in Microsoft Excel
- Ability to work effectively as part of a small office team
- Strong facilitation and presentation skills before multiple types of audiences
- Strong writing skills, with experience in grant writing
- Outstanding communication and interpersonal skills, with the ability to build authentic
- relationships with a diverse set of high-profile stakeholders
- Preferably bilingual in Spanish to communicate effectively in community settings.
- Detail-oriented, with excellent organizational skills
